While everyone concentrates on the venue, décor, and menu for a wedding, the true first look of the wedding is showcased in your invitation card. But more often than not, planning of the invites is left to the last minute, leading to annoying errors and sudden panic. We bring to you a short checklist to ensure a smooth tension free invitation process.

Do the Math!

The first most important thing to have in place is a list of guests to be invited. This is the starting point of all planning, including the size of the venue, and definitely the number of cards to be printed. But we do suggest a good buffer to be accounted for in the order you give for your cards. There are always people missed out, last minute invites, people expecting separate invites within a family…the list of surprises is endless. Better to be prepared with extra cards, than flustered or embarrassed later!

Make an informed choice

Make sure you see your printer’s portfolio before placing your order. Just the design isn’t enough to base your decision on, it’s always recommended to visit the shop / have him visit you and check out the textures, colours and thickness of the papers used. Sometimes background colours that look beautiful in isolation, might not look great with the font colour selected. While you should be as creative as you want, it always helps to see a lot of samples to ensure you have the correct vision for your card.

Plan the functions

Keep in mind if every person on your guest list will be invited to all of the functions. If not, choose designs that allow for removable inserts, which you can customize depending on who you’re inviting for which function.

Check, check, check!

Always insist on getting a proof of your card, and take out some time to read it peacefully. It’s easy to skip spelling errors, miss out names and not notice small grammatical glitches. Ensure at least two other people review your proofs before you give the final go ahead, because beyond this point, it will be extremely costly and time consuming to go back and make changes!

Beware the Indian Standard Time

You might want to consider mentioning timings on the cards an hour prior to the actual event. You need to account for the time people take to reach and settle in, with latecomers causing unwanted delays in your ceremonies.

Be Practical

While wedding cards today come in all shapes and sizes, always keep in mind how you plan to send them to your guests. While heavy boxes will add to the shipping costs, irregular shapes may face the risk of damage in transit. While something looks pretty in front of you, ensure it reaches your guests as pretty and painlessly as possible!

Get address stickers

When preparing the guest list, also start the task of collating addresses of all the invitees. This is a herculean task and often requires a lot of time and effort, so it’s best to plan in advance. Utilize your printer’s service to print address stickers, as it is the easiest and most efficient way of preparing the invites. You can always go for a personalized touch and have all addresses handwritten (whether you do it yourself or hire someone), but ensure you plan enough time for this, as it can only be done once all the cards have arrived from the printer.

Wedding invitations are usually sent 4-6 weeks in advance. Pay attention to the deadline and rsvp as soon as humanly possible. It saves a lot of stress for the bride and groom, as there is a lot of expense on planning; and most of that expense is dictated by the numbers on that list.

Arrive on Time

Plan to be at the venue at least 20-30 minutes prior to the main ceremony. Also, never assume that it’s okay for you to miss the main part of the day, as long as you get to attend the reception. Show the couple how much they mean to you by being present for their special moments. They invited you for the same reason.

Don’t be disrespectful to the couple’s religions/traditions

When some ritual you do not understand is going on, which might require you to maintain silence or even join in, pay attention.

And The List Goes On & On & On…

Think back to all the parties you’ve organized or hosted. They all have a similar framework which involves catering, invites, giveaways and so on but have you realized none of these elements can be finalised until you know how many people are expected. And this issue perhaps stems from the big question  – how many guests should you invite in the first place?

As individuals of a society we always tend to base these decisions on different factors ranging from who invited us in the past to who we really want as part of our celebrations, from who is immediate family to who could pass off as far-off relatives. Each of these thoughts play a role in determining your final guest list and we know the problems it can pose. For this we suggest a four finger rule on how to create guest lists, especially for weddings, which are an elaborate affair.

Categorize the crowd

The easiest way to start the list is to categorize everyone you know. Create titles for each list like immediate family, secondary family, relatives, neighbors, colleagues, classmates and so forth. This way everyone is bracketed in a way to enable you to understand their place in your life on your big day. Our favorite way to getting started is running through your phone list, Facebook friends or the age old address book at home.

Prioritize the people

Once you have categorized the guests, it is now time to rate them in order of importance. The ones who are extremely special and important to you are prioritized on the list with a star or highlighter so you know that they are definitely included for the wedding whereas the rest remain as options based on other factors.

Feel the function

By now your most important guests are marked on the list and perhaps you are contemplating over which ones should be invited from the rest of the list. For this it is extremely important to visualize the wedding functions. Think about what kind of mood you want to set and that should give you an idea. If you want a Mehendi function that is intimate and fun then you would most likely omit acquaintances or colleagues but if you would want something more extensive then you would include the ones who aren’t too close to you as well. Similarly you wouldn’t have a bachelor or youngsters party which included far off relatives – would you? Thinking along the lines of how you would want to enjoy each day of your wedding will definitely help you define the guest list even better.

Adhere to the arrangement

Once you reach this stage, you will realize that you pretty much have a guest list that is quite close to the final one but what will really make it the final one is your ability to stick to it. We strongly recommend to try and avoid checking the list more than twice or thrice to the maximum else it is a case of – back to square one – and you will not see yourself progressing.

We aren’t claiming that making the guest list is as easy as we are trying to make it sound but we assure you it isn’t as big a task if you are systematic, focused and of course calm. So get your laptop, open up an excel sheet (avoid wasting paper where you can) and go! Good luck.
